What a Receipt Is Actually For
A receipt is not a polite follow-up to an invoice. It is the record that money changed hands — the one document either side can point to months later when nobody remembers the conversation.
Proof That Payment Happened
An invoice is a request; a receipt is the answer. It fixes in writing what was paid, on what date, and by which method. If a customer later queries a charge, or a bank statement line is too vague to identify, the receipt is what settles it.
It Ends the Chasing
Most "has my payment gone through?" messages exist because nobody confirmed anything. Sending a receipt the moment funds clear closes the loop without a conversation, and stops you re-chasing a customer who already paid.
Your Customer Needs It Later
Receipts are what people dig out for expense claims, reimbursements, warranty checks, and returns. A named, numbered, itemised PDF is retrievable from a mailbox search. A photo of a till roll is not.
What Changes When It Is a Receipt
The two documents look alike and describe the same transaction, but they are written at different moments — one before the money moves, one after. That changes what each field is for.
| Field | On an invoice | On a receipt |
|---|---|---|
| Date | Date issued, plus a due date | The date the money actually arrived |
| Amount | The amount owed | The amount received — which may be a deposit, not the full total |
| Payment terms | Net 30, due on receipt, late-fee wording | None. There is nothing left to chase |
| Payment method | How to pay — bank details, a payment link | How it was paid — cash, transfer, card |
| Reference | Invoice number the client quotes when paying | Receipt number, ideally alongside the invoice it settles |
Send an invoice when
The work is done or the goods are going out, and you are waiting to be paid. The document has to say what is owed, by when, and how to pay it — then you follow up until it clears.
Send a receipt when
The money has landed — the transfer showed up, the card went through, the cash is in the till. Nothing is outstanding, so the document is purely a record of what was paid and when.
A Receipt Maker Built Around One Job
Confirming a payment should take seconds, not a spreadsheet template and a screenshot. Fill in what was paid, pick a look, download the PDF.
Nothing Leaves the Tab
Receipts carry customer names and amounts people would rather not hand to a random website. This one runs entirely in your browser — no account, no upload, no copy sitting on our server.
Numbered Automatically
Each receipt picks up where the last one left off, so your references stay sequential and traceable. Override the number whenever your own system says otherwise.
Records How They Paid
Cash, transfer, card, or something local — the payment method is free text, so the receipt reflects what actually happened instead of a fixed dropdown.
Prints and Emails Cleanly
Vector-quality PDF that stays sharp on paper and readable on a phone, ready to hand over at the counter or attach to a reply.
